    Position Summary

    We are seeking a strategic, operations-minded Chief of Staff to work directly with the CEO. This pivotal role blends executive support, project management, client relations, and business development.

    You will be the CEO's right hand—managing internal operations, streamlining communication, ensuring strategic initiatives are implemented, and representing the company in client-facing settings.

    This is a part-time role
    hrs/week.

    Key Responsibilities

    • Executive Support – Manage the CEO's calendar, schedule meetings, track deadlines across departments; create and maintain internal documentation including SOPs, meeting agendas, and status updates; monitor project pipelines to ensure timelines are met; provide leadership in internal communication and task delegation.
    • Client Management & Onboarding – Participate in Discovery Calls to understand client needs; guide clients through onboarding from Trello setup to job description approval and final interviews; maintain hightouch communication throughout sourcing and onboarding lifecycle.
    • Talent Acquisition Oversight – Coordinate with recruitment to align hiring tasks with client timelines; oversee full candidate pipeline including video assessments, interviews, final interview scheduling, and candidate profile submissions; review and improve hiring workflows.
    • Internal Team Coordination – Act as liaison between CEO, recruitment, HR, and marketing; track performance metrics; contribute to process improvement initiatives.
    • Sales Support & Client Expansion – Support outreach to warm leads and dormant accounts via CRM; monitor sales pipeline; assist with gathering testimonials and referrals postplacement.
    Key Qualifications

    • 3+ years of experience in Chief of Staff, Executive Assistant, Operations, Client Services, or Program Management roles.
    • Proven ability to manage crossfunctional workflows in a fastpaced, startup environment.
    • Excellent English communication – verbal and written.
    • Experience with CRMs (GoHighLevel) and Google Workspace required.
    • Demonstrated leadership and critical thinking skills.
    • Comfortable working U.S. business hours (10 AM to 2 PM EST, Monday to Friday).
    Compensation

    Hourly Rate:
    $15–$18 USD (based on experience).

    Performance Bonus:
    $50 per closed client sourced via your pipeline support.
