    Job Summary

    We are seeking a highly organized and proactive Executive Assistant to support a senior executive in a fast-paced finance-focused team. This role is critical in helping the executive stay organized, manage tasks effectively, and maintain clarity across multiple priorities.

    About the Role

    • This position requires strong communication skills (written and verbal) as well as proficiency in Slack, Gmail, Zoom, Microsoft Office, and Google Calendar.
    • The ideal candidate will have 2-4 years of experience in executive or administrative support and possess excellent organizational and time management skills.
    • This role also involves managing calendar scheduling and meeting coordination, triaging emails, tracking tasks, preparing agendas, taking notes during Zoom meetings, conducting online research, booking flights and accommodations, and maintaining CRM records.

    Key Responsibilities

    1. Manage calendar scheduling and meeting coordination.
    2. Triage emails and assist with inbox management.
    3. Track tasks and follow up on pending items.
    4. Prepare agendas and take notes during Zoom meetings.
    5. Conduct online research and handle ad hoc tasks.
    6. Book flights and accommodations as needed.
    7. Maintain CRM records and support basic data entry.

    Requirements

    • 2-4 years of experience in executive or administrative support.
    • Strong communication skills (written and verbal).
    • Proficiency in Slack, Gmail, Zoom, Microsoft Office, and Google Calendar.
    • Excellent organizational and time management skills.
    • Ability to work independently and prioritize effectively.
    • Basic comfort with financial information and terminology.

    Nice-to-Haves

    • Familiarity with QuickBooks Online.
    • Experience managing or updating a CRM system.
    • Prior experience in a finance, accounting, or professional services environment.
    • Familiarity with US tax terminology.
    • Familiarity with Karbon software.
